A quote is not an invoice

An invoice says what you are owed. A quote has a harder job: it has to make the client feel confident enough to say yes. That means it needs three things an invoice does not.

  • An expiry date. "Valid until" is the single most useful line on a quote. It gives a reason to decide, and it protects you when someone comes back nine months later expecting last year’s price.
  • What is not included. Most disputes are not about the price. They are about something the client assumed was in the number and you assumed was not.
  • A way to say yes. An acceptance block turns "let me think about it" into a signature. Without one, the next step is vague and nothing happens.

Optional lines are a pricing tactic

Tick Opt on a line and it is priced but kept out of the total. This does more work than it looks like it does.

It shifts the client’s question from "should I do this at all?" to "which version should I take?". That is a much better question to be asked, and it often raises the final figure without any pressure from you.

Ask for a deposit

Fifty per cent up front is normal for project work and completely standard for freelancers. It does two things: it covers you if the client disappears, and it filters out people who were never going to pay. Set it to 0 if you would rather not, but do it deliberately.

Describe the outcome, not the hours. Hours invite negotiation about your rate; outcomes invite a decision about the result.

Send it the same day

The single biggest thing you control is speed. A good-enough quote sent within a few hours of the call beats a beautiful one sent next week, because the client is still thinking about the problem.

Common questions

How do I turn this into a PDF?

What is the difference between a quote and an estimate?

A quote is a fixed price you are committing to. An estimate is your best guess and can change. If your scope is uncertain, say "estimate" in the terms and explain what would move the number.

How long should a quote be valid?

Thirty days is the usual default and is what this tool sets. Shorten it if your costs move quickly. The point is that it expires at all.

Is the signature block legally binding?

A signed quote that states the work, the price and the terms is generally treated as an agreement in most places, but that depends on your country and the value involved. For anything substantial, use a proper contract.

Are my details or my logo uploaded?

No. The logo is read by your browser, shrunk locally, and stored only on this device. Nothing is sent anywhere.
